CS OS App Privacy Policy

Effective date: 28 September 2026

1. Who we are

The CS OS app is provided by CS Equine Modelling Agency Ltd (company number 13840646), trading as CS Equine Models (“CS”, “we”, “us”). Registered address: Craft Cottage, Smallridge, Axminster, England, EX13 7LY. We are responsible (the “controller”) for the personal information processed in the app.

Questions, requests or complaints: info@csequinemodels.com.

CS OS is a private workspace for CS, the models we represent and approved business clients. Accounts are created by invitation from CS only. This policy covers the app. Our website has its own website privacy policy.

2. Information we process

What we hold depends on whether you are a CS team member, a model or a client contact:

  • Account details: name, email address, phone number, your role, your account status and, for CS team members, the work areas you can access.
  • Model profiles: contact details, general location, measurements and clothing sizes, riding disciplines and experience, links to portfolio material, and details of horses you work with (including owner consent where supplied). Changes you suggest are reviewed by CS before they are published.
  • Availability and casting: dates you are available or unavailable, availability notes (a private note is visible only to you), casting invitations, your replies and answers to casting questions, and casting history.
  • Clients and productions: company and contact details, booking requests and briefs, production schedules, locations, travel arrangements, production contacts and updates.
  • Finance records: invoices, fees, agency commission, expenses, VAT, payment status and remittance references. Payments are made outside the app. The app does not collect your card or bank details. CS’s own business bank details are shown on our invoices.
  • Notifications and security: if you turn on alerts, a device token used to send them, plus records of in-app notifications. We also keep records of changes to CS team access. Our hosting provider processes technical information such as IP addresses and timestamps to keep the service secure.

Information comes from you, from CS, or from client contacts authorised to arrange work. The app has no advertising, no third-party analytics and no tracking across other apps or websites.

3. Why we use it

  • To provide your account and the features for your role: to perform our contract with you, or to take steps you ask for before entering one.
  • To run the agency (casting, bookings, production arrangements and client administration) and to keep the app secure: our legitimate interests in running our business, balanced against your rights.
  • To keep financial and tax records: our legal obligations.
  • To send push alerts: only if you turn them on. You can turn them off at any time and still use your in-app inbox.

4. Who can see it

Inside the app, what each person sees depends on their role. CS team members see only the work areas CS has given them. Models see their own profile and the productions they are involved in. Clients see their own company’s work and the models CS chooses to propose. CS’s internal notes are never shown to models or clients.

We use these service providers, who process information for us under contract:

  • Supabase: account sign-in, database and hosting. Our data is stored in the EU (Frankfurt, Germany).
  • Expo, Apple and Google: delivering push alerts, if you turn them on. Alert text on your lock screen is generic.
  • Our email delivery provider: sending account invitations, password-reset emails and account messages.
  • Labii Reatum Ltd: builds and maintains the app for CS and carries out technical tasks, including account deletion, on our instructions.

Some of these providers may process information outside the UK. Where they do, we rely on the protections required by UK data protection law, such as adequacy regulations or approved contract clauses. Links to external portfolios or documents open other services, which have their own privacy policies. We may also share information where the law requires it, or to establish or defend legal claims.

5. How long we keep it

  • Your account and profile information is kept while you have an account with us, until you or CS close it.
  • When an account is deleted, we remove your login, profile, contact details, measurements, horse and availability records and personal notes. Shared business records, such as a production you took part in, keep only the minimum needed, with your personal details removed.
  • Invoices, fees and payment records that the law requires us to keep are kept for six years from the end of the relevant accounting period, then deleted.
  • A minimal record that a deletion was completed is kept for six years, then deleted.
  • Database backups are kept for up to seven days and then overwritten. If a backup is ever restored, we re-apply completed deletions before the service reopens.

6. Deleting your account

You can request deletion of your account inside the app: go to More > Privacy & your data > Request account deletion. You can also email us. CS reviews each request and we complete the deletion within 28 days of your request (or of any identity check we need). If a lawful reason means we need longer, we will tell you why within that time. We will email you when deletion is complete. Signing out does not delete your account.

7. Your rights

You have rights to access, correct and delete your information, to restrict or object to how we use it, to receive a copy in a portable format, and to withdraw consent where we rely on it. Some rights have legal exceptions. To use a right, email info@csequinemodels.com. We may need to confirm your identity first. You can also complain to the UK Information Commissioner’s Office at ico.org.uk.

8. Age

CS OS is for adults. We do not knowingly provide accounts to anyone under 18.

9. Changes

We will update this policy when the app or the law changes and show the new effective date here. We will tell account holders about important changes.
